REGISTRATION REFUND POLICY Effective March 1, 2026
Refunds are applicable to season registration fee. The following criteria will be used to confirm refund eligibility and amount:
- Full refund for a player displaced due to SMMHA not offering a division or team for the player to play.
- Full or partial refund for a player registered in U5, U7, or as a first year hockey player. The refund amount will be determined based on the official notification date via the online form and the portion of the season remaining.
- Full or partial refund for a player deemed medically unable to participate for the balance of the season. Written confirmation by a licensed medical practitioner may be required to support the request. The refund amount will be determined based on the official notification date via the online form and the portion of the season remaining.
- Full or partial refund for a player due to a permanent family residential relocation. The refund amount will be determined based on the official notification date via the online form and the portion of the season remaining.
If none of the above criteria apply to the refund request, the following criteria will be used:
- No refund for players registered to an OMHA A/B/MD and OWHA Tier 1 team.
- For players other than OMHA A/B/MD and OWHA Tier 1, 50% refund on minimum funds due based on payment schedule, for requests received on or before July 1st.
- For players other than OMHA A/B/MD and OWHA Tier 1, 25% refund on minimum funds due based on payment schedule, for requests received on or before August 15th
- No refund after August 16th
All refunds are subject to an additional $25 administrative fee.
Any player and/or parent/guardian with a current suspension due to a breach of the SMMHA's Code of Conduct is ineligible for a registration fee refund.
SMMHA breaks the season down into seven (7) months (September 1 to March 31). Refund request amounts will be calculated by month (not weeks) when determining refund amount. Once a month has started, a refund request will be calculated from the 1st of the following month. For example, if an eligible refund request is officially submitted October 5th, the amount calculated would be from November 1st to March 31st.
All refund requests must be officially submitted online using the Refund Request Form and include all required supporting documentation (as applicable). Refund requests made outside the online form will not be approved.
Refunds may take up to 60 days from receipt to be processed and refund issued. Refund requests are vetted by the SMMHA Registrar and SMMHA Treasurer and shared with the SMMHA Executive. SMMHA Executive reserves the right to review all refund requests on an individual basis.
The SMMHA Refund Policy is intended to support both members and teams, not to be restrictive to the player requesting the refund. Because team numbers, roster viability and ice allocation are all set before the season starts, withdrawals after these decisions are made can have significant negative impact on other players in the association.
