1.2 STATEMENT:
- Horizon Academy Institute (HAI) is dedicated to providing high-quality education for students registered in the Sunday School Program.
- Horizon Academy Sunday Program offers a few options such as full-day option, half-day (Arabic only or Islamic only) option and YLDC option.
- Student ‘registration is a key process that is integrated with the registration IT system as well as the financial management of the school.
- To ensure that all stakeholders are aware of the various issues and responsibilities for the registration process as a key activity for the school operation.
1.3 SCOPE:
This administration regulation applies to:
- Students who wish to attend Horizon Academy Sunday Program for the first time,
- Students who are currently registered in Horizon Academy Sunday Program or wish to re-register in the program,
- In-person and online or virtual Horizon Academy Sunday Program.
1.4 PURPOSE:
The purpose of this administrative regulation is to:
- Provide guidelines and regulations for parents and students who wish to register in Horizon Academy Sunday Program; and
- To ensure transparency and clarity for parents and students who wish to register in Horizon Academy Sunday Program.
1.5 COMPLIANCE:
- Horizon Academy Sunday Program registration and management team are responsible for knowing, understanding, and complying with Horizon Academy Sunday Program student registration and registration policy and regulation.
- All parents are responsible for reading, understanding, and complying with Horizon Academy Sunday Program student registration and registration policy and guidelines.
1.6 ELIGIBILITY CRITERIA:
- Students are accepted on a first come first served basis.
- All students who are new to Horizon Academy Sunday Program may be required to provide a Canadian birth certificate or an equivalent document to prove age and legal name.
- For students who are in a custody situation, their parents may be required to provide a written supporting document to state which parent is responsible for drop-offs and pick-ups, who is responsible for making any related educational decisions, and the right email for school correspondence and all needed contact information for the parent who is responsible for the child.
- Horizon Academy Sunday Program currently does not have the facilities or the resources to accommodate children with learning disabilities or severe behavioral issues. Thus, if a student is found in need of specialized services which cannot be accommodated by the school, their parents are required and responsible to transfer them to another school/program where their needs can be appropriately met.
- Class placement is based on age, proficiency in the Arabic Language Arts, and/or success in a previous level at Horizon Academy Sunday Program and any other criteria deemed relevant by the Registration Committee in consultation with the Academic Affairs Committee.
- Horizon Academy Sunday Program applies the Calgary Board of Education age policy and guidelines regarding the appropriate class levels for students based on their age.
- Prospective students must be at least four (4) year old as of December 31 to start Pre-KG. This means a three (3) years old student may be registered in Pre-KG level with HAI if they will turn four (4) on or before December 31 of the calendar year- subject to vacancy, For example:
- 4-yr. old will be placed in Pre-KG.
- 5-yr. old will be placed in KG.
- 6-yr. old will be placed in level 1.
1.7 ADMISSION PROCEDURE:
- All students must register online using the online registration link and pay all required and associated registration fees.
- Required fees may include but are not limited to textbooks, registration fees, administrational fees, tuition, and a volunteer deposit.
- Online registration dates are to be determined by the school management. The school management team shall set the registration dates and deadlines by early spring of the previous academic year.
- Existing students will be regularly reminded of the commencement of the registration process, and it will be advertised on Horizon Academy Sunday Program’s website. However, it is the parents ‘responsibility to meet the registration deadline.
- Late registrations are accepted until January 31st of the current academic school year. Registration after January 31st is up to the management discretion.
- Students who register between November and January of the current academic school year will be considered on a case-by-case basis, based on their Arabic Language Arts proficiency and subject to the availability of suitable classroom spots.
- Late registered students may be required to repeat the same level if they don’t fulfill the acceptable academic level and requirements to move forward to the next level.
- Students will be assigned to their suitable levels before school commences.
- Registration will only be deemed to be complete after receipt of a confirmation email from the Registration Committee.
1.8 WAITLIST:
- Student’ enrollment is subject to the available quota of students at each level of the school.
- If registration is requested at a level where all classes are already full, the student will be placed on a waiting list.
- To be placed on the waiting list, students must complete the online registration and pay the required fees.
- Placement tests and enrollment are at the discretion of the school management.
- There is no guarantee that a student on the waiting list will be admitted to Horizon Academy Sunday Program in the current academic year. In the event that the student is not enrolled, Horizon Academy Sunday Program will issue a refund minus the registration fees.
1.9 PLACEMENT TEST:
- Students who are new to Horizon Academy Sunday Program and are seven (7) years old or older by December 31, must undergo an Arabic Language Arts placement test if applying for Arabic only or a full-day Program.
1.10 CLASSROOM PLACEMENT AND NEXT LEVEL PROGRESSION:
- Students will be placed in classes of the same level, subject to availability and other factors deemed appropriate by the Registration Committee.
- Successful students proceeding to the next level will be kept with the same group on a reasonable effort basis.
1.11 CLASS/LEVEL TRANSFERS:
- Requests for class transfers may only be processed by the Registration Committee or personnel designated by the school.
- There will not be any class transfers during the first two weeks of school.
- Class transfer requests must be submitted by a parent and by an official email to info@horizonacademy.ca.
- The above email must include reasonable supporting reasons to justify the requested class transfer. Class and/or level transfers will not be permitted after three (3) months of the commencement of the academic school year. The Registration Committee, in consultation with the Academic Affairs Committee and the Program Manager will treat requests for exceptions to this rule on a case-by-case basis.
- Any student seeking to move to a higher level may undergo an Arabic Language Arts placement test.
- It is the parent’s responsibility to pay any associated fees in the case of level transfer, such as the cost of the new textbooks.
- No teacher should accept any new students in the class unless accompanied by a properly completed class placement form issued by the Registration Committee and/or the Academic Affairs Committee.
1.12 EXESSIVE ABSENCE:
- It is the parent’s responsibility to inform the school about their child/ren’s absence.
- In the case of two or more consecutive absences from class, the parents must inform their child’s teacher via email about the dates and reasons for absence.
- Teachers will inform the Registration Committee or the management team if a student misses three consecutive school sessions with no prior notice.
- Once the school management is informed about the excessive absence of a student, they will be responsible for contacting the student’s parents.
- Horizon Academy Sunday Program reserves the right to withdraw or take the appropriate action (s) regarding a student who is absent from school for an extended period time.
1.13 WITHDRAWAL:
- Students have one (1) week of a free trial to attend the program and make their registration decision.
- Parents who wish to withdraw their child (ren) from the program, must submit a withdrawal request in writing via email to info@horizonacademy.ca stating all reasons to support their request.
- Students who withdraw from the school program are not eligible for registration in the same academic year but may register for the following school year.
- Horizon Academy Sunday Program’s refund policy applies to all students’ withdrawals during any time of the academic year.
- Horizon Academy Sunday Program will collect all outstanding fees by the time of withdrawal.
1.14 REFUNDS:
- Registration fees are nonrefundable.
- In the case of student withdrawal within the first four (4) weeks of the start of the school program, an 80% refund will be issued.
- After the start of the first four (4) weeks of school and until December 31 of the school year, a 20% refund will be issued.
- No refunds will be issued after December 31.
1.15 FEES AND SUBSIDIES:
· A one-time non refundable $75 registration fee per child for every year
· Full-day (Arabic & Islamic) Pre-KG through Level-7 programs fee is $775.
· Half-day (either Arabic or Islamic only) Pre-KG through Level-7 programs fee is $550.
· YLDC 1 or 2 program fee is $775.
· School fees are the same regardless of the time of registration.
· Subsidies are available for eligible families with the following guidelines:
1- Eligible families requesting subsidies must provide all required documents to prove their eligibility which includes but are not limited to the previous year’s tax assessment.
2- Eligible families must communicate with the Registration Committee to provide the suitable coupon as per Horizon Academy Sunday Program Registration and Admission policy.
3- Horizon Academy Sunday Program subsidizes 50% of the eligible school year fees to the maximum of one (1) child per family per year.
4- Subsidies will be subject to availability.
