Refund Policy
This Refund Policy applies to all programs offered by St. Charles Soccer Association (SCSA). SCSA retains sole discretion over the approval or denial of any refund request. All decisions are final and not subject to appeal.
General Conditions (All Programs)
Refunds are not guaranteed and are assessed on a case-by-case basis where applicable.
Refunds will only be considered under the specific conditions outlined for each program below.
Requests must be submitted in writing as outlined in each section.
Statutory, administrative, or non-recoverable fees may be excluded from refunds.
- SC Force - One Season (Developmental / Premier) & Grassroots Programs
Refund Considerations: Refund requests will only be considered under the following circumstances:
- Move Outside Winnipeg City Limits. The player relocates outside Winnipeg during the season and is unable to continue participation within the applicable program.
- Season-Ending Injury. The injury prevents the player from continuing participation for the remainder of the program. The player must cease all sessions and may not continue participating. Players who remain involved do not qualify for a refund.
Application Process:
- Requests must be emailed to admin@st-charles-soccer.com Include the player’s full name, reason for request, and the date of the move or injury.
- Medical or other supporting documentation may be attached or requested prior to a decision.
- Approved refunds will be calculated based on the percentage of sessions remaining at the time of approval.
- Indoor Recreational Soccer (Indoor Rec) and Outdoor Recreational Soccer (Outdoor Rec)
Refund Policy:
- An 80% refund will be issued if a player withdraws within the first 14 days of practices and/or games, subject to approval by the Director of Recreational Programs.
- No refunds will be issued after the first 14 days of practices and play unless:
- Move Outside Winnipeg City Limits. The player relocates outside Winnipeg during the season and is unable to continue participation within the applicable program.
- Season-Ending Injury. The injury prevents the player from continuing participation for the remainder of the program. The player must cease all sessions and may not continue participating. Players who remain involved do not qualify for a refund.
- Under these circumstances approved refunds will be calculated based on the percentage of sessions remaining at the time of approval.
Refund Process:
- Parent or guardian must email the Director of Recreational Programs requesting withdrawal and refund, including the player’s full name, reason for request and any other relevant information.
- The Director of Recreational Programs will notify the Treasurer and Club Administrator with the relevant details.
- Medical or other supporting documentation may be attached or requested prior to a decision.
- Refunds will be issued via Electronic Funds Transfer (EFT).
- Any funds paid through KidSport will be returned directly to KidSport.
- Requests sent to the admin email will be forwarded to the Director of Recreational Programs for review.
- The Club Coordinator will acknowledge receipt of the request and advise families that the request is under review.
- Academies & Camps
Refund Policy:
- Refunds may be requested up to the start of the program.
- Once the program has commenced, no refunds will be issued.
Final Notes
Non-attendance, scheduling conflicts, or changes in availability do not constitute grounds for a refund unless otherwise specified.
This policy supersedes all previous refund policies.
