Refund Policy
Soccer Cape Breton (“SCB”) is a non-profit organization. Refunds are intended to provide flexibility for registrants while protecting the financial stability of the Association.
Once registration is completed, SCB commits to program expenditures, including administrative costs, equipment, uniforms, league fees, and staffing. These costs are not recoverable if a player withdraws. All refunds for payments received are subject to a Service Fee to account for costs charged to SCB for processing payments.
Clubs within Soccer Cape Breton may have their own refund policies. Refund requests for club programs should be directed to the individual club.
Refunds Categories
Refunds may be requested for a variety of reasons, and eligibility depends on the category:
- Immediate Reconsideration
Players who submit a written notice of withdrawal within 48 hours of payment, before participating in any program activity and before payment has been processed, will receive a full refund.
- Cancellation of Program by SCB
If a program is cancelled prior to its start, a full refund will be provided. If a program is cancelled after it has started, refunds will be pro-rated.
- Medical Reasons
If an illness or injury prevents a player from participating, a partial refund will be issued upon request. The refund will be pro-rated based on the portion of the program remaining, minus any administrative, league, SCB, uniform, or SNS fees, and must be supported with a physician’s note.
- Moving Out of Area
If a player moves outside of the SCB service area and cannot reasonably continue in the program, a partial refund may be issued. The refund will be pro-rated based on the portion of the program remaining, minus any administrative, league, SCB, uniform, or SNS fees, calculated from the date of the written request or the date of the move, whichever is later.
- Unprecedented Circumstances / Extraordinary Events
If external events require programs to be suspended or cancelled, refunds will be applied as a credit towards a future SCB program.
- Other
Refund requests that do not fall under the categories above may be considered on a case-by-case basis and will follow the pro-rated schedule outlined in this policy.
- Exceptions
Any exception to this policy must be approved by the Executive Committee of Soccer Cape Breton.
Additional Notes:
- Refunds will not be issued if a player disagrees with coach selection, team placement, or tier placement.
- SCB is not responsible for any money collected by teams, coaches, or fundraising efforts.
- No refund will be given if a player is suspended or expelled under SCB’s Discipline Policy or Code of Conduct.
Refund Procedure
- Refund requests must be submitted in writing via email to Soccer Cape Breton. Please include the reason for withdrawal.
- Refunds for cheque or electronic payments will be issued once cleared by SCB’s financial institution.
- Refunds for online credit card payments will be issued by cheque after SCB receives confirmation of payment from the registration system.
- Refunds will be issued upon approval and may take up to 30 days to process.
